SMS Privacy Policy

1. Introduction

This SMS Privacy Policy ("Policy") describes how Teams.Coach, LLC ("Teams.Coach," "we," "us," or "our") collects, uses, shares, and protects the personal information you provide when you enroll in or interact with our SMS text message marketing program. This Policy applies specifically to data collected through our SMS program and supplements our general Privacy Policy.

By opting in to receive text messages from Teams.Coach, you acknowledge that you have read and understood this Policy. For information about how your SMS program operates — including message frequency, opt-out instructions, and program details — please review our SMS Terms & Conditions.

2. Information We Collect

When you enroll in the Teams.Coach SMS program, we collect the following categories of personal information:

  • Mobile phone number — the number you provide when opting in to receive text messages.
  • Opt-in date and method — the date, time, and form through which you provided consent to receive SMS messages.
  • Message engagement data — whether you received, opened, or clicked links in messages we sent, and any keyword replies (e.g., STOP, HELP).
  • Associated contact information — your name and email address if provided alongside your phone number during enrollment.

We collect this information only for the purposes described in this Policy. We do not collect sensitive personal information (such as financial data, health information, or government ID numbers) through the SMS program.

3. How We Collect Your Information

We collect your phone number and SMS consent through the following touchpoints on our website:

  • The email and SMS signup form in the footer of www.teams.coach, where you check an explicit SMS consent checkbox.
  • The Free Team Diagnostic lead capture form, where you may optionally provide your phone number and check the SMS consent checkbox.
  • The keynote inquiry form, where you may optionally provide your phone number and check the SMS consent checkbox.

All collection methods require your explicit, affirmative consent. Pre-checked boxes are never used. Providing your phone number and SMS consent is always optional and is never a condition of receiving other services.

4. How We Use Your Information

We use the personal information collected through the SMS program solely for the following purposes:

  • To send you the text messages you opted in to receive, including leadership content, event announcements, and promotional offers from Teams.Coach.
  • To process and honor opt-out requests when you reply STOP or use another recognized opt-out keyword.
  • To respond to HELP requests and provide customer support related to the SMS program.
  • To analyze aggregate message engagement data to improve the relevance and quality of our SMS communications.
  • To maintain records of your consent as required by applicable law, including the Telephone Consumer Protection Act (TCPA).

We do not use your phone number for any purpose other than those described above. We do not use your SMS data for automated profiling or decision-making that produces legal or similarly significant effects.

5. Information Sharing and Third Parties

We share your phone number and SMS engagement data only with the following categories of service providers, and only to the extent necessary to operate the SMS program:

  • Mailchimp (Intuit Inc.) — our SMS and email marketing platform. Mailchimp stores your phone number, manages your subscription status, and delivers text messages on our behalf. Mailchimp's privacy practices are governed by their Privacy Policy at mailchimp.com/legal/privacy.
  • Wireless carriers — your mobile carrier receives message metadata (such as delivery status) as a necessary part of delivering text messages to your device.

We do not sell, rent, or trade your phone number or SMS data to any third party for their own marketing purposes. We do not share your information with data brokers, advertising networks, or any party not directly involved in operating the Teams.Coach SMS program.

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Teams.Coach, our subscribers, or the public.

6. Data Security

We implement industry-standard technical and organizational security measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These measures include:

  • Encrypted data transmission (TLS/HTTPS) for all web form submissions.
  • Restricted access to subscriber data — only authorized personnel with a legitimate business need may access your information.
  • Secure storage through Mailchimp's SOC 2-certified infrastructure.

No method of data transmission or storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security. If you believe your information has been compromised, please contact us immediately at info@teams.coach.

7. Data Retention

We retain your phone number and SMS consent records for as long as you remain an active subscriber and for a reasonable period thereafter to comply with legal obligations and resolve disputes. Specifically:

  • Active subscribers: your phone number is retained for the duration of your subscription.
  • After opt-out: we retain a record of your opt-out (including your phone number and the date of opt-out) to ensure we do not inadvertently contact you again. This suppression record is maintained for a minimum of 4 years as required by TCPA compliance best practices.
  • Consent records: records of your opt-in consent (date, method, and IP address if applicable) are retained for a minimum of 4 years.

8. Your Rights and Choices

You have the following rights with respect to your personal information in the Teams.Coach SMS program:

  • Opt out at any time: reply STOP to any text message, or email us at info@teams.coach with "SMS Opt Out" in the subject line.
  • Access your data: you may request a copy of the personal information we hold about you in connection with the SMS program.
  • Correct your data: if your phone number or associated contact information is inaccurate, you may request a correction.
  • Delete your data: you may request deletion of your phone number and associated SMS data. Note that we will retain your opt-out suppression record to prevent future contact.

9. Children's Privacy

The Teams.Coach SMS program is not directed to individuals under the age of 18. We do not knowingly collect phone numbers or other personal information from children. If you believe we have inadvertently collected information from a minor, please contact us immediately and we will take steps to delete it.

10. Changes to This Policy

We may update this SMS Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review this Policy periodically. The most current version will always be available at www.teams.coach/sms-privacy. Your continued participation in the SMS program following any changes constitutes your acceptance of the updated Policy.
